For organisations

Kaluara for Business

Every event your organisation runs, on one account.

Book, pay for and share every event your people run, from one place.

Example: Harbour & Co Events's overview. What needs doing, the money booked and left to pay, and the next events. A balance is paid and its to-do ticks off.

Example: a booking in the Kaluara app. The balance is paid and the booking reads paid in full.

The 50 Hours suits you. About 10 events over 20 months at $100/hr, $750 a year less than by the hour.

Each pack lasts 24 months. Booked by card instead, a date is not held until the deposit clears.

Dates

Booked 8 weeks ahead, the date is guaranteed

All it takes is prepaid hours. Dates sooner than that can still be reserved.

  • Reserve dates now, set the times laterHold several dates against your hours, 4 hrs a date. Release one more than 7 days before and every hour comes back.
  • Sooner than usualOnline bookings need 2 days’ notice. Inside that, an owner or billing sends a priority request and we are told the moment it is sent.

Example: Harbour & Co Events reserves 5 Saturdays. Those from Wed 30 Dec, 8 weeks out, are guaranteed.

Example: Harbour & Co Events sends a priority request for tomorrow, inside the usual notice, under an earlier one Kaluara agreed to.

Billing

Billing your accounts team will like

Invoices billed to your business, balances paid together, and statements and reports for any dates.

Example: an invoice billed to Harbour & Co Events Pty Ltd, with its ABN, attention to the person who booked, and the organisation's PO number.

Example: Harbour & Co Events ticks three events' balances and pays them in one card payment.

Example: Harbour & Co Events's booked value by event month over the last 12 months, the busiest month labelled.

Bill to, on every invoice. Your business name, ABN and billing address, and who booked.

Galleries

Your client’s look, or yours

Every event’s gallery wears a colour and a logo: your organisation’s, or the client you are running it for. Pick one per event.

  • A look per eventYour client’s name, colour and logo on their guests’ gallery.
  • Who hosted, under the photosYour profile, a line and your links at the foot of every gallery.
  • Shared by link and QR codeGuests find the night’s photos without an app.

The gallery now wears Harbour & Co's colour and logo.

Booking pages

A booking page for every event

Whoever runs the event on the day gets one link for all of it: the print, the details, the money and the photos. No sign-in needed.

Example: a booking page on a phone. The print is approved, the event's details are saved, the balance is paid, and prints are ordered from the gallery.

1 of 4Approve the printWhoever runs the event sees the print as it will come out and approves it. What we print is always a version they said yes to.

The Kaluara app

Your events in your pocket

Book, follow each event, design the print and see the gallery, all from the app.

Good to know

Questions, answered

01 of 11

What is an organisation account?

One place for every event your organisation runs with us. Everyone you invite sees and manages the events shared with it, an owner or someone on billing pays and approves, and each event keeps its own booking page and gallery. Creating one costs nothing: you pay for the events you book.

02 of 11

How do prepaid hours work?

Buy a pack of hours at a lower hourly rate: 20 hrs at $110/hr, 50 hrs at $100/hr and 80 hrs at $90/hr. A pack lasts 24 months from the day it is bought. Each event booked with hours runs for 4 hrs or more, with no early hours loading.

03 of 11

When is a date ours?

Booked by card, a 30% deposit confirms it, and the date is not held until the deposit clears. Booked with prepaid hours, it is confirmed the moment it is booked with them.

04 of 11

What does guaranteed mean?

Book with prepaid hours 8 weeks or more before the event and the date is guaranteed. Sooner than that, it is confirmed when the booth is free as you book.

05 of 11

Can we hold dates before we know the times?

Yes. Reserve dates against your prepaid hours, 4 hrs a date, and set the times later on each event's page. Dates 8 weeks or more out are guaranteed. Release a date more than 7 days before it and every hour comes back.

06 of 11

What if we need a date sooner than usual?

Online bookings need 2 days' notice. Inside that, an owner or someone on billing sends a priority request from the organisation's account, and we answer it there.

07 of 11

Who can do what?

Everyone sees and manages every event shared with the organisation, and can download statements and reports. Billing also pays balances, keeps the billing details and approves what members ask for. Owners also invite people, set their roles and set the gallery's look. Members plan new events and an owner or billing approves them.

08 of 11

Can invoices show our business details and PO number?

Yes. Add your business name, ABN, billing email and address once, and every invoice from then on is billed to your business, with the person who booked and the event's PO number.

09 of 11

How does storage work?

Each pack includes storage for the photos your people and guests add to your galleries: 25 GB with 20 hrs, 100 GB with 50 hrs and 250 GB with 80 hrs. It is one pool for the whole organisation, shared by every event, for as long as the pack lasts. Nothing is removed if it runs low: new uploads wait until there is room.

10 of 11

Is there an app?

Coming soon to iPhone. Until then, your organisation's account and each event's booking page and gallery work in any browser, on a phone too.

11 of 11

What if we need to cancel?

The date is held once the deposit is received. The balance is due by 11:59pm the night before the event, unless we agree otherwise. Cancel more than 7 days before the event and everything paid is refunded; within 7 days, half the deposit is refunded, along with anything paid beyond it.
